Terms and Conditions

1. Introduction and Tour Purpose

1.1. This document outlines the Terms and Conditions for all players, coaches, and chaperones (hereafter “Participants”) selected for the Endeavour Volleyball Club (hereafter “the Club”) 2026 USA College Volleyball Tour (hereafter “the Tour”). 1.2. The Tour will take place during the October school holidays, from approximately September 26 to October 12, 2026, for a duration of 12 nights. 1.3. The primary purpose of the Tour is developmental, providing players with exposure to the US college volleyball system, high-level competition, and a unique cultural experience. The Tour will travel from Sydney, Australia to various cities in California, USA, including San Francisco and Los Angeles.

2. Eligibility and Selection

2.1. Initial expressions of interest are by invitation only and are being offered to current Endeavour Volleyball Club players first. 2.2. Participants must be registered financial members of the Endeavour Volleyball Club for the 2026 season. 2.3. Players will be selected based on playing ability, attitude, commitment to training, and demonstrated maturity. The final selection of the touring squad is at the sole discretion of the Club’s coaching and management staff. 2.4. All Participants under 18 years of age must have the signed consent of a parent or legal guardian.

3. Code of Conduct

3.1. All Participants represent the Endeavour Volleyball Club and are expected to behave with integrity, sportsmanship, and respect at all times. This includes interactions with teammates, coaches, officials, opponents, accommodation staff, and the general public. 3.2. Alcohol and Drugs: The consumption or possession of alcoholic beverages (for those under 21 in the USA), illicit drugs, or any performance-enhancing substances is strictly prohibited for the duration of the Tour. 3.3. Curfews: Tour management will set and enforce curfews. All Participants must adhere to these curfews without exception. 3.4. Accommodation: Participants are responsible for keeping their accommodation tidy and are liable for any damages incurred. Male and female Participants will have separate accommodation areas. Visiting rooms of the opposite sex is prohibited unless explicitly authorised by tour staff for a supervised team activity. 3.5. Social Media: Participants must use social media responsibly and respectfully. Any content that could be construed as bullying, harassment, or bringing the Club into disrepute is prohibited. 3.6. Attendance: All Participants are required to attend all scheduled matches, training sessions, team meetings, and official tour activities unless excused by the Head Coach due to illness or injury.

4. Disciplinary Procedures

4.1. Any breach of these Terms and Conditions, particularly the Code of Conduct, may result in disciplinary action. 4.2. Disciplinary measures may include, but are not limited to: – A formal warning. – Suspension from one or more matches. – Contacting the Participant’s parent or guardian. – In cases of serious misconduct, the Participant may be sent home at their own (or their parent’s/guardian’s) expense, with no refund of tour fees. The decision of the Tour’s Head of Delegation will be final in such matters.

5. Insurance

5.1. Compulsory Travel Insurance: It is a condition of participation that every Participant secures their own comprehensive travel insurance. The Club is not responsible for any costs associated with a Participant’s failure to obtain adequate insurance. 5.2. Insurance policies must provide cover for, but not limited to: – Unlimited overseas medical and dental expenses, including emergency evacuation and repatriation. – Cancellation fees and lost deposits. – Luggage and personal effects. – Personal liability. 5.3. A copy of each Participant’s Certificate of Insurance must be provided to the Club no later than 60 days prior to departure.

6. Health and Medical

6.1. Participants must disclose any pre-existing medical conditions, allergies, or injuries on the official tour medical form. This information will be kept confidential. 6.2. The Club must be notified of any required medications. All medications must be accompanied by a doctor’s letter. 6.3. By agreeing to these terms, parents/guardians grant the tour staff authority to obtain necessary medical treatment for a Participant in an emergency. All reasonable efforts will be made to contact the parent/guardian prior to treatment. All medical expenses are the responsibility of the Participant and their insurer.

7. Tour Fees and Payment Schedule

7.1. The total cost of the tour is $9,600 AUD per player. 7.2. Inclusions: The tour fee covers return airfares (Sydney-USA), accommodation, food, entry tickets to scheduled sites and attractions, a tour uniform pack, day trips, and all ground transportation during the tour. 7.3. Exclusions: The tour fee does not cover the cost of obtaining travel insurance, passport or visa fees, personal spending money, or any meals/activities not explicitly listed in the final itinerary. 7.4. Payment Schedule:Expression of Interest: Due by October 22, 2025. – First Deposit: A non-refundable deposit of 40% of the total tour cost is required by December 20, 2025, to confirm a place on the tour. – A full schedule for subsequent instalment payments will be provided to confirmed Participants. Failure to meet the payment schedule may result in the Participant’s removal from the tour. 7.5. Refund Policy: – The 40% initial deposit is strictly non-refundable. – Cancellations made after the first deposit is paid will be subject to non-recoverable costs already paid by the Club to suppliers (e.g., flights, accommodation). – Participants are strongly advised to refer to their travel insurance policy for potential claims in the event of cancellation.

8. Travel and Documentation

8.1. Participants are responsible for ensuring they have a valid passport with at least six months’ validity from the date of return. 8.2. Participants are responsible for obtaining any necessary visas or travel authorisations (e.g., ESTA for the USA). The Club can provide guidance but is not responsible for the application process. 8.3. The Club is not liable for any costs incurred due to a Participant’s failure to have the correct travel documentation.

9. Liability and Indemnity

9.1. Volleyball is a sport with inherent risks of injury. While the Club and its staff will take all reasonable measures to ensure the safety of Participants, the Club, its committee members, coaches, and chaperones shall not be held liable for any injury, loss, damage, or death sustained by a Participant during the Tour. 9.2. By agreeing to these terms, Participants and their parents/guardians indemnify the Club against any claims arising from their participation in the Tour, except where such claims arise from the gross negligence of the Club or its staff.

10. Media Release

10.1. Participants and their parents/guardians consent to the use of photographs and video footage taken during the Tour for promotional purposes by the Endeavour Volleyball Club, including on its website, social media channels, and in other publications.

11. Alterations and Cancellations

11.1. The Club reserves the right to alter the tour itinerary or arrangements if necessary due to unforeseen circumstances. As the NCAA Division I volleyball schedules for 2026 have not yet been released, the final itinerary is subject to change to ensure the tour’s main objective of visiting college programs during home games is met. 11.2. If the entire Tour is cancelled by the Club due to circumstances beyond its control (e.g., government travel warnings, pandemic), the Club will endeavour to refund as much of the tour fees as possible, subject to funds recovered from suppliers.

12. Acknowledgement

By signing the official tour acceptance form, I, the Participant, and I/we, the parent(s)/legal guardian(s), confirm that I/we have read, understood, and agree to be bound by the Terms and Conditions outlined in this document.
